Receptionist/Office Admin

The Receptionist/Office Administrator is responsible for answering all incoming calls and general emails for PHM Brands and routing to appropriate area/person, greeting incoming/exiting guests and employees, maintaining the reception area, and general office duties as assigned.

RESPONSIBILITIES:

  • Welcome office guests, sign them in, and direct them to the correct area, or notify correct area/person of their arrival.
  • Greet arriving and exiting employees to maintain a friendly, positive environment.
  • Answer all incoming PHM Brands calls and assist the caller or forward calls to the appropriate location/employee.
  • Respond to the general email inbox and direct emails to the appropriate area/person.
  • Maintain the reception area and office supplies.
  • Track and order office supplies.
  • Monitor conference room spaces, schedule for them, and schedule meetings as needed.
  • Receive incoming/outgoing mail and deliver to appropriate parties.
  • Perform other duties or tasks as required.
  • General housekeeping duties as assigned.

 

QUALIFICATIONS:

  • High school diploma.
  • At least one year of relevant receptionist/office administration experience.
  • Possess excellent interpersonal, organizational, and communication skills.
  • High level of multi-tasking ability.
  • Ability to work unsupervised.
  • Available to work flexible hours/weekends as needed.

 

WORKING CONDITIONS:

  • This position will require some physical efforts such as pulling and lifting.
  • Repetitive actions such as typing, checking people in, answering phones, etc.
  • Sitting and/or standing for long periods of time.
